1. Introduction

This Privacy Policy describes how X3m (Xtreme) Bot ("we", "our", or "the bot") collects, uses, and stores data when you use the bot or its dashboard. By using X3m, you agree to the practices described in this policy.

2. Data We Collect

We collect the following data to provide bot functionality:

• Discord user IDs, usernames, and avatar hashes
• Discord server (guild) IDs and names
• Message content when required by features such as moderation logs or starboard
• XP and leveling data including message activity counts
• Moderation records such as warnings, bans, kicks, and timeouts
• Dashboard session tokens stored as encrypted cookies
• Server configuration settings you apply through the dashboard

3. How We Use Your Data

Your data is used exclusively to:

• Deliver the features and commands of the bot
• Authenticate users on the dashboard via Discord OAuth2
• Store server configuration so settings persist across restarts
• Generate moderation case history for server administrators
• Display XP leaderboards and leveling progress

We do not sell, rent, or share your data with any third party.

4. Data Retention

Data is retained for as long as the bot remains in your server. If you remove the bot, your server configuration and moderation records remain stored for up to 30 days before automatic deletion. You may request immediate deletion by contacting us through our support server.

5. Data Storage and Security

All data is stored in Cloudflare D1, a serverless SQL database. Data is encrypted at rest and in transit. Dashboard sessions use HttpOnly, Secure cookies. We do not store plaintext passwords or Discord tokens beyond what is required for OAuth2 refresh.

6. Third Party Services

We use the following third party services:

• Discord API for authentication and bot functionality
• Cloudflare Workers and D1 for hosting and data storage
• Vercel for dashboard hosting
• Render for bot hosting

Each of these services has their own privacy policy. We recommend reviewing them independently.

7. Your Rights

You have the right to:

• Request a copy of all data we hold about you
• Request deletion of your personal data
• Opt out of specific data collection where technically possible

To exercise any of these rights, please join our support server and open a request.

8. Changes to This Policy

We may update this policy from time to time. Changes will be announced in our support server. Continued use of the bot after changes constitutes acceptance of the updated policy.
